BOOKING TERMS, CONDITIONS AND POLICIES
Please read and familiarise our booking terms and conditions prior to booking.
Making a booking
Bookings for both the House and Lodge are secured by a non-refundable deposit. The booking is not confirmed or secured until this is received; the contract of hire is made upon receipt of the deposit. The full balance of the booking cost is payable forty two (42) days prior to the first night of the booked stay (the due date). If the full balance is not paid by the due date, the deposit will be forfeited and the accommodation will be made available for bookings.
When the full balance is paid by the due date, the original deposit is held as a security deposit against damages, breakages and excessively dirty or unkempt living spaces and bedrooms. The owners will inspect the accommodation at the end of the rental and, subject to a satisfactory outcome, the security deposit will be returned to the hirer within five working days of departure. “Exclusive use” deposits for both House and Lodge are £200. If a hirer books both properties, the deposit is £400. Please read carefully the “condition of accommodation” and “cancellation policy” sections below.
Payments
Direct bookings
- All bookings that are made direct with the owners (via their website or telephone) are payable by bank transfer.
- Direct exclusive-use bookings: The owners will supply banking details when asking for the deposit to secure the booking and when asking for payment of the full balance.
- Direct room-only Lodge bookings are payable in full by bank transfer at the time of booking.
Bookings through third parties (booking.com, Expedia, etc.)
- Payment arrangements vary depending on which third party is being used
- Prices are higher when booking through third parties owing to the additional commissions
Condition of the accommodation
The hirer is responsible for the condition of the accommodation, fixtures, fittings and its entire contents during the hire period, fair wear and tear accepted. The hirer will make good any damage or loss and leave the property and contents in a clean and tidy condition. The hirer will be held liable for the full cost of any damage to the building, its fixtures, fittings or movables/appliances that occur during the hire. If the cost of repairs exceeds the security deposit, the hirer will be required to pay the balance.
Excessively dirty or unkempt living spaces, bedrooms or showers/toilets that require additional cleaning will be charged for and sums will be deducted from the security deposit or billed to the hirer at a rate of £20/hour.
It is a condition of the contract that no responsibility is accepted by the owners for any accident or mishap to persons or property whilst on the premises or whilst engaged in any activity therefrom, or from any illness or injury arising from any cause whatsoever.
Check in and check out
Exclusive-use hire check-in is from 3pm. Room-only Lodge bookings check-in is from 4pm until 8pm. Check-out from all accommodation is at 10am on the day of departure. The hirer can request a later departure on payment of a supplement. Late check-outs that have not been agreed in advance are charged at £60/hour to cover the cost of the additional cleaners needed to prepare the accommodation in time for the next guests.
Smoking and vaping
Smoking and vaping are not permitted in any indoor areas. Smokers should smoke well away from buildings and on finishing should ensure cigarettes are properly extinguished and disposed of in the bins.
Dogs
We welcome well-behaved dogs by prior arrangement and on payment of a supplement. We limit the number of dogs on site to ensure all guests have an enjoyable stay, so it is essential that the hirer advise us at the time of booking if they wish to bring a dog. We reserve the right to refuse admission if the hirer checks in with a dog that has not been booked and paid for. We do not accept any other animals at Gulabin.
The following dog terms apply:
- Dogs must be under close control at all times while inside or within the grounds;
- Any fouling must be cleared up without delay, bagged and binned in the general waste bin;
- The dog owner must bring the dog’s bed or basket for sleeping in;
- Dogs must not be left alone inside or out at any time;
- Dogs must not lie on beds, chairs or sofas, and hair must be cleared up before departing;
- Dog owners must ensure that their pets are free from parasites and fleas before arrival. We reserve the right to deduct sums from the security deposit to cover pest control costs;
- Young dogs (e.g. puppies less than 6 months old) must be declared to us at the time of booking;
- The dog owner will be liable for any damage caused by their dog. Any damage must be reported immediately. We reserve the right to withhold all or part of the security deposit to cover additional cleaning or damages caused by dogs.
Cancellation policy
Bookings are considered to be confirmed once the deposit has been paid. Hirers who cancel a confirmed booking must do so in writing. The following applies:
- Written notification of cancellation will only be accepted from the hirer, not from any other person(s).
- The hirer must contact the owners by mail or email, using the addresses supplied during the booking process.
- Deposits from cancelled bookings are non-refundable.
- If a booking is cancelled after the full payment has been made and within forty two (42) days of the first night of the stay, the full payment will be forfeited, but the owners will return the original deposit.
- Hirers who have paid a deposit but cancel more than forty two (42) days before the first night of the stay remain liable for payment of the full cost of the booking.
- When a booking is cancelled, the owners will endeavour to re-let the accommodation. If successful, the cancelling hirer will no longer be liable for the full cost of their cancelled booking.
- If the accommodation cannot be re-let and the cancelling hirer has paid the full balance, the owners will retain this but will return the original deposit. (Note that on payment of the full balance 42 days before the first night of the stay, the original deposit becomes a security deposit; see “making a booking” in the Terms and Conditions for details).
- Hirers are advised to take out specialist holiday cancellation insurance to allow them to recover the cost of a cancelled booking.
